What is Inventory Report?

Inventory is a detailed document listing rental property contents and their state. Inventories are carried out for all kinds of properties, whether furnished or unfurnished. Every inventory InventoryFlex makes accurately guides the landlord through all important property features and provides the inventory details that help both parties enter into the bona fide tenancy agreement.

Why is Inventory Report Important?

Both the landlord and the tenant need the inventory report to be used as the benchmark that clearly describes contents and state of the property inventory for future reference. Duly performed inventory reports covers all changes of the property condition from the check-in until check-out and in case of any disputes between the landlord and the tenant regarding the damage, wear and tear or missing items, will help them resolve the issue or can be used as the evidence in court.

Inventory Report Process

Making an Appointment for Inventory

Landlord or the agent usually orders the inventory services when the tenancy starts ,  after that, inventory clerk contacts the tenant to make an appointment and schedule the date and time of check in time. We can conduct the inventory report with the tenant present or absent at the time of the property inspection. 

Inventory Inspection Process

Inventory is thoroughly carried out by inventory clerk, who uses the best efforts and eye for details to make an adequate description of the property contents and their state. The parameters covered by inventory inspection are assessment of the property according to cleaning standard, inspection of its floors, windows, fixtures and fittings, furniture items, curtains, sanitary ware, kitchen appliances, electrics, linens and other units. Inventory report with such level of detail helps avoid any future disagreement between the all parties of the tenancy agreement and can be used as the benchmark to rely on.

Inventory Report Contents

Inspection is used as the basis of inventory report that, in addition to the description of all property contents, includes at least 12 high-quality photos of every property area. Photographs and notes made by inventory clerk acting as an independent part are used as the evidence of the “as seen” state of the property and help make unbiased conclusions of inventory state.

The last page contains the signature section and the declaration of the tenants that they agree with the report contents. If the tenant fails to return any comments to the inventory report during seven days, inventory is considered to be an accurate representation of the property condition. This approach to inventory inspection management helps avoid unnecessary delays.

Inventory Report Privacy Policy

Our company pays special attention to adhere to our privacy policy excluding any visual personal identifiable data in the notes or photos made. Besides, we never provide the completed inventory report to any third party without the instruction or permission of the landlord or agent that has ordered the services. This helps our clients comply with legal requirements to personal data protection.

Inventory Report Deadline

A customer will receive completed inventory report with notes and photos within 48 hours after the date and time of the inventory inspection.

Inventory Report Storage

The signed Inventory Report identical to the one received by the client is stored at our business online platform the clients can use to freely access the report any time. Our customers can look through or download inventory report as a PDF file, if and when needed. 

Discovering Property Damage during Inventory

If any significant or severe damage to the property is discovered during the inspection, inventory clerk enters this information and photos of the damage in the report so that landlords could be well aware of the situation and take measures appropriately.

Our professional inventory clerks are thoroughly trained to outline the crucial details and conditions of your property assets. This is to ensure your property and its contents are safeguarded and to protect yourself if a dispute should arise during a tenancy.

If you are a new landlord or are starting a new tenancy, an Inventory and check-in report is highly recommended to record and detail all the assets within the property and conditions. Should you already have a regularly updated inventory report then a check-in report should be sufficient. Mid tenancy, typically for long-term lets, we recommend to conduct Mid Term inspections to monitor that the property is being taken care of and to prevent any issues to arise. Once a tenancy comes to an end, our team carry out the Check-out report and final inventory.

The actual onsite visual inspection required to create the report takes an average of 1-2 hours and this will include various photos and comprehensive descriptions. The stage that follows is for our back office administrative team to put together the final report, which can take around 5 hours and this is assessed once more for quality purposes by the clerk before the final delivery.

Yes, you can but it will not hold up in a court of law. In order to be legally binding your report must have been prepared by a neutral party. A landlord or letting agency will not be considered neutral.

Yes. An inventory report does not just cover the contents within the property but also describes the quality of decoration, details any deficiencies and damages plus specifies all furnishings, fixtures and fittings.

Our property inventories and related reports are conducted by professional inventory clerks who are trained to record and assess the findings at the property with an independent and unbiased view. However, our clients have a right to query anything that is said within the report.It is important that upon receipt of your report you check through to ensure that you are satisfied with its contents. If you feel anything has been omitted or unfairly detailed, you must contact us within 7 days of the report being emailed.

We are open from Monday to Friday from 09:00 to 18:00. On Saturdays we open from 10:00 to 17:00.

We will deliver your report as a pdf within 24 hours. We will email the report to the booker. Please be aware that we are legally not allowed to send this to any other party unless instructed in writing.
