Frequently Asked Questions
A property inventory report is a detailed written and photographic record of a rental property’s condition and contents at the start of a tenancy. It documents walls, floors, ceilings, appliances, furniture, fixtures, meter readings and cleanliness.
This report protects landlords, tenants and letting agents by providing clear evidence in case of deposit disputes.
Technically yes, but a self-compiled report will not hold up in a deposit dispute. Deposit protection schemes including TDS, DPS and MyDeposits require evidence from an independent third party. A report compiled by the landlord or agent is not considered independent and will be challenged by adjudicators.
A professional AIIC-accredited clerk from InventoryFlex has no financial interest in the outcome — making their report credible evidence accepted by all major deposit schemes and courts. The cost is a fraction of the deposit value it protects.
A check-in assumes a full property inventory already exists from a previous tenancy. The clerk visits the property, reviews the existing inventory, records any changes in condition since the last check-out, takes meter readings, tests smoke alarms and hands over the keys. It does not create a new property record from scratch.
An inventory & check-in combines both in a single visit. The clerk creates a brand new full inventory — documenting every room, every fixture, every fitting and every appliance from scratch — and then conducts the full tenant handover on the same visit. This is
the recommended service for any new tenancy, any change of tenant, or any property that does not have an up-to-date inventory on file. If you are unsure which service you need, the answer is almost always the inventory & check-in. It is our most popular service for exactly this reason.
A professional inventory protects your rental investment. Without a detailed inventory & check-in report, landlords may struggle to claim deductions through the deposit scheme.
Independent, AIIC-accredited clerks provide impartial documentation that strengthens evidence in disputes.
While not legally mandatory, it is strongly recommended.
Deposit protection schemes like Tenancy Deposit Scheme (TDS), DPS and MyDeposits rely heavily on inventory reports when resolving disputes. Without one, it becomes difficult to prove property condition at move-in.
• Inventory & Check-In Report – Documents property condition at the start of tenancy.
• Check-Out Report – Compares condition at the end of tenancy against the original inventory.
• Highlights damage, missing items or cleaning issues.
Together, these reports form the basis of any deposit decision.
Typical timeframes:
• Studio / 1 bed: 45–60 minutes
• 2 bed property: 45–90 minutes
• Larger properties: 2–4+ hours
Inspection time depends on size, furnishing level and property condition.
Costs vary depending on:
• Property size
• Furnished or unfurnished
• Additional areas (balcony, garage, garden)
At InventoryFlex, inventory reports start from £110 for a studio, rising to £160 for a 5-bedroom property. Inventory & check-in reports start from £120. All prices are fixed and transparent with no hidden fees. View our full pricing table above.
Tenants are encouraged to attend, but it is not mandatory.
They will still receive the report to review and sign. Attendance helps avoid misunderstandings later.
Without a professional inventory:
• Deposit disputes are harder to win
• Evidence is weaker
• Claims may be rejected by deposit schemes
This applies equally to furnished and unfurnished properties — an unfurnished property still requires a detailed inventory to evidence the condition of walls, floors, fixtures and fittings at the start of tenancy.
DIY inventories often lack detail and independence.
A professional report includes:
• Detailed room-by-room descriptions
• Condition assessment
• Cleanliness grading
• High-resolution dated photographs
A professional report includes:

Independence ensures fairness and credibility.
An independent clerk works for the property condition record — not for landlord or tenant — which strengthens trust in disputes.
Inventory Flex clerks follow professional standards and best practices.
Inventory Flex works to professional standards aligned with Association of Independent Inventory Clerks (AIIC).
Accredited clerks follow strict codes of conduct and reporting standards.
Yes. InventoryFlex covers all London boroughs across West, North, Central, South and East London — including Chelsea, Fulham, Kensington, Camden, Hackney, Canary Wharf, Greenwich, Battersea, Wandsworth, Clapham, Stratford and Woolwich. We also cover parts of Essex and Kent. Same-week appointments are available across all areas.
A mid-term inspection is conducted during the tenancy to:
• Check property condition
• Identify maintenance issues early
• Ensure tenancy agreement compliance
It helps prevent larger issues at check-out.
Deposit schemes require:
• Signed inventory & check-in report
• Check-out report
• Clear photographic evidence
• Invoices or quotes (if claiming costs)
Strong documentation increases success rates.
Reports are typically delivered within 24 hours after inspection (often same day), subject to property size.
